Job Description
Natural Retreats is hiring a full-time Guest Services Coordinator to join our Sun Valley, ID team! The Guest Services Coordinator provides integral support to both the Property Management (PM) and Senior Management onsite teams, ensuring efficient operation of the day-to-day business, adherence to brand standards, and owner and guest satisfaction. Under the direction of the General Manager, this individual will carry out the core duties of owner-guest communications, administrative assistance, and property inspection.

ESSENTIAL FUNCTIONS:
- Work with GM and onsite team to oversee owner and guest services. Fulfil owner and guest requests and resolve issues in a timely manner.
- Answer all incoming office and Guest Service phone calls promptly and professionally and dispatch messages or act on as needed.
- Complete all pre-arrival emails and calls. Schedule Textline as needed.
- Manage Lost and Found Program.
- Monitor Brivo lock system and assist with any associated guest service requests or challenges.
- Attain expert knowledge of the Sun Valley area and provide guests with any requested information.
- Monitor and record work orders on a regular basis.
- Communicate with housekeeping and maintenance on daily arrivals and guest requests using the work order system.
- Prior to guest arrival, ensure all NR brand standards are met in terms of safety, cleanliness and hygiene. Assist with housekeeping and schedule deep cleans as needed.
- Perform meet and greets with guests as needed, including working with Alaya Concierge.
- Conduct secondary property inspections on Alaya and other high-end properties.
- Support PM team in carrying out daily tasks such as:
- Participate in onboarding process of staff and independent contractors to ensure they are being deployed in a productive manner.
- Put together all arrival packet information and items needed for PM openings and inspections.
- Assist with Snap Inspect uploading new and current units.
- Share in coverage of after hours phone.
- Provide as needed, back up Property Management coverage when the team is short staffed and/or the PM is off or has an emergency.
- Manage the upkeep, maintenance, and inventory of the property, and in conjunction with PM and owner, replace items where necessary using approved suppliers and equipment.
- Gain knowledge of operational systems and services in rental properties as required including gas, water, sewage supply, etc.
- Collaborate with GM to maintain owner inventory for new and current homes.
- Gain knowledge of property locations, amenities, appointments and operation of all items at homes.
- Provide open, honest and timely communication to all departments and central teams.
- Operate company vehicle in a safe, courteous, and professional manner.
- Set an example of professionalism by modeling superior work ethic, appearance, timekeeping, preparedness, and attributes to gain the trust, confidence and respect of the team.
