Job Description
Perform a variety of advanced secretarial and clerical duties designed to expedite the maintenance, processing and recording of administrative business. Including the processing of information, data and documents to facilitate communication or coordinating office, activities, practices and procedures.
Essential Job Functions and Responsibilities:
- Compose and/or type, edit, and proof a variety of documents, reports, and correspondence. Design and/or create charts and graphs to be used in oral presentations. Initiate and respond directly to correspondence of both routine and non-routine nature.
- Order supplies via company system. Be Point of Contact and escort vendors performing maintenance on office equipment.
- Receive, refer, and/or answer mail, walk-in and telephone inquiries regarding organization activities.
- Efficiently manage and coordinate multiple calendars/schedules with accuracy and efficiency while prioritizing time management needs. Proactively resolve scheduling conflicts and coordinate collaborative meetings.
- Support office operations by coordinating requests for information or providing general direction to others.
- Coordinate travel accommodations and prepare travel expense records
- Handle project classified and unclassified sensitive data and materials according to protocol while maintaining surveillance against security infractions and violations.
- Advise managers and personnel in making decisions to retain, store, or destroy organization records, ensuring special record-keeping requirements are met for various record classifications.
- Maintain office records and files and ensure confidentiality and security of sensitive and confidentiality and security of sensitive and controlled documents.
- Logistical space coordination and onboarding of new employees. Facilitate phone/move requests, and other maintenance and service requests for employees. Property management and space management.
- Monitor status of critical items, assignments, and deadlines to ensure timely completion.
- May escort un-cleared visitors as requested.
Knowledge/Skills/Abilities:
- Understand the operation of standard office equipment performing word processing, document preparation, spreadsheets, etc.
- Knowledge of procedures and methods related to filing and documenting and modern office practices and procedures
- Knowledge of English composition, spelling, grammar, punctuation, etc.
- Knowledge of basic mathematics, basic accounting, or bookkeeping
- Interpersonal communication skills and telephone etiquette, and basic public relations
- Ability to proactively anticipate needs and take appropriate actions to ensure activities are prioritized area aligned to advance mission
- Ability to work independently in meeting various deadlines and work pressures
- Ability to produce or compose formal documents, reports and records
Minimum Qualifications
- Proficient in Microsoft Office Suites
- Self-starter, able to work under pressure to meet commitments while maintaining quality of work and effective interface
- Must be a US citizen
- Must be able to obtain a favorable completed National Agency Check and maintain clearance for duration of employment
