Job Description
PROGRAM SUMMARY:
Aging Strong is a volunteer-powered program serving children, older adults, veterans, and family caregivers. The Aging Strong program has five signature services: Respite Companions, Foster Grandparents, Memory Café, Powerful Tools for Caregivers, and Improv to Improve Dementia Care. The program’s mission is to change the lives of older adults through service and connection.
POSITION SUMMARY:
The Program Support role assists the Aging Strong Program Director, Administrative Assistant and Three Team Leads (Respite, Foster Grandparent, and Caregiver Support) by providing administrative, operational, and logistical support across all program areas. This position ensures consistency in program documentation, outreach, volunteer and caregiver support, and compliance with Jannus and funder requirements. The Program Support role is ideal for someone who is detail-oriented, collaborative, and passionate about serving older adults.

PRIMARY DUTIES AND RESPONSIBILITIES:
Outreach and Communication- Help coordinate Aging Strong’s presence at community events, job fairs, and presentations.
• Assist with social media postings, newsletters, flyers, and website updates under the direction of the team leads.
• Communicate with volunteers, caregivers, and community partners in a timely and professional manner.
• Support the distribution and tracking of volunteer and family intake forms, and evaluation surveys.
- Provide logistical and administrative support for training sessions, workshops, and conferences.
- Work one-on-one with volunteers when additional training is needed.
- Work one-on-one with teachers in community when additional training is needed.
- Prepare materials, refreshments, attendance sheets, and evaluations.
- Help set up and attend volunteer recognition and community outreach events.
- Assist in Memory Café’s and Powerful Tools for Caregivers Courses.
- Provide day-to-day administrative and clerical support to Aging Strong Team Leads.
• Maintain accurate and confidential volunteer and participant records in accordance with program and funder requirements.
• Assist in preparing reports, surveys, and data summaries for funders and internal tracking.
• Support program recognition efforts including volunteer appreciation events, thank-you mailings, and social media updates.
• Assist in preparing outreach and training materials.
• Assist with monitoring program files for completeness and readiness for audits.
• Maintain confidentiality of sensitive information and adhere to Jannus policies. Other Responsibilities
- Represent Aging Strong with professionalism and compassion.
• Attend required staff and partner meetings.
• Drive to program events and community locations as needed.
• Perform other duties as assigned.
ESSENTIAL REQUIREMENTS:
- Genuine interest in and support of Jannus’ mission.
- Strong organizational, administrative, and communication skills.
• Proficiency with Microsoft Office (Word, Excel, Outlook) and basic data entry.
• Attention to detail and ability to manage multiple tasks efficiently.
• Ability to maintain confidentiality and build positive working relationships with volunteers and community partners.
• Must possess a valid driver’s license, proof of insurance, and access to a reliable vehicle.
• Must be able to pass a criminal history background check.
EXPERIENCE AND EDUCATION REQUIREMENTS:
Required:
Minimum of 1 year of experience in administrative, human service, or program support work.
Preferred:
Experience working with older adults or volunteers.
WORKING CONDITIONS:
- General office environment with occasional travel to program sites, volunteer stations, and outreach events. Hybrid position in which office can be at home and/or Jannus office.
• Must be able to tolerate heat and cold and drive in varied weather conditions.
PHYSICAL REQUIREMENTS:
- Must be able to operate standard office equipment for extended periods of time.
- May be required to lift up to 25 pounds.
