Position Summary: We are seeking a highly organized and client-focused Intake Specialist to be the first point of contact for potential clients. In this role, you will gather essential information, evaluate case viability based on our firm guidelines, and ensure a smooth transition to the legal team. The ideal candidate has excellent communication skills, attention to detail, and a passion for helping people navigate their legal needs. Key Responsibilities:

  • Respond to incoming calls, email, and web inquiries from potential clients.
  • Conduct thorough intake interviews to gather necessary information and documents.
  • Assess preliminary case information to determine alignment with the firm’s criteria.
  • Accurately enter and update client information in case management systems.
  • Schedule initial consultation appointments with attorneys for potential clients.
  • Follow-up on pending inquiries.
  • Maintain confidentiality and comply with all legal and ethical standards.
  • Provide excellent customer service to all prospective and current clients.
  • Performing administrative support tasks as assigned.

Qualifications:

  • High school diploma or equivalent required.
  • 1-3 years of experience in a law firm, legal intake, call center, or customer service role (criminal defense or legal background preferred).
  • Strong verbal and written communication skills.
  • Professional, compassionate, and patient demeanor.
  • Ability to handle sensitive and confidential information with discretion.
  • Familiarity with legal case management software a plus.

Skills:

  • Customer service skills to make prospective clients, current clients, and vendors feel welcome.
  • High-level listening skills to gain a thorough understanding of client situations.
  • Demonstrated interviewing skills to know which questions to ask to gather more information.
  • Strong written and oral communication skills.
  • Basic understanding of various legal specialties to evaluate the suitability of potential cases and recommend other firms as needed.
  • Attention to detail with excellent follow-up skills.
  • Strong organizational and time management abilities.
  • Ability to multitask in a fast-paced environment.
  • Problem-solving mindset and adaptability.
  • Knowledge of word processors, spreadsheets, email, and database software.

Work Environment:

  • Professional office atmosphere; exposure to computer screens.
  • Sedentary work that primarily involves sitting or standing for prolonged periods.
  • Regular business hours Monday - Friday: 8 a.m. to 5 p.m.
  • Occasional overtime may be required based on volume.
  • Occasional requirement to be on call.
