Job Overview

We are seeking a detail-oriented and highly organized DOT Compliance & Registrations Administrative Assistant to support our team in assisting clients with transportation regulatory compliance. In this role, you will help ensure that our clients remain compliant with federal and state regulations by assisting with the preparation, processing, and maintenance of DOT filings, registrations, and regulatory documentation.

The ideal candidate will be proactive, highly organized, and comfortable working with regulatory documentation and government agencies. This role plays a key part in helping trucking companies, carriers, and transportation businesses maintain compliance with FMCSA, DOT, IRP, and IFTA requirements.

Duties
  • Assist clients with DOT compliance filings and regulatory registrations, ensuring all required documentation is submitted accurately and on time

  • Support the preparation and processing of FMCSA filings, operating authority applications, and DOT number registrations

  • Assist with IRP (International Registration Plan) and IFTA (International Fuel Tax Agreement) account setup, renewals, and reporting for clients

  • Maintain accurate records of client compliance documentation, filings, and regulatory correspondence

  • Monitor filing deadlines and renewal dates for client registrations, permits, and regulatory requirements

  • Communicate with clients to gather required information and documentation needed for compliance filings

  • Coordinate with state agencies, registration offices, and the Federal Motor Carrier Safety Administration (FMCSA) regarding filings and regulatory updates

  • Maintain organized digital and physical records for client accounts and compliance documentation

  • Perform accurate data entry into compliance management systems and registration databases

  • Provide professional customer service when responding to client questions related to DOT compliance, registrations, and regulatory requirements

  • Assist in preparing documentation for compliance audits, inspections, and regulatory reporting

  • Support internal teams by tracking compliance tasks, filing statuses, and client account updates

Skills
  • Experience in transportation administration, DOT compliance services, or regulatory filing support preferred

  • Familiarity with FMCSA regulations, DOT registrations, IRP, and IFTA processes is highly desirable

  • Strong proficiency in Microsoft Office (Word, Excel, Outlook) and general administrative software

  • Excellent attention to detail when preparing regulatory filings and compliance documentation

  • Strong data entry skills and ability to manage multiple client records accurately

  • Effective time management and ability to track multiple client compliance deadlines simultaneously

  • Professional communication skills when working with clients, regulatory agencies, and internal staff

  • Strong organizational skills to maintain accurate and structured compliance records

  • Ability to handle confidential business information with professionalism and discretion

  • Customer service experience working with business clients is a plus
